Payments and Method and Fees
Payments are due at the time of registration or at the beginning of each session, unless otherwise arranged in writing.
Payment Methods
Rocky Mountain Art and Play Center accepts the following payment options:
Major credit/debit cards (Visa, Mastercard, American Express)
ACH bank transfers
Checks, made payable to “Rocky Mountain Art and Play Center”
Cash, accepted only in person
Online payments via our secure portal
Refund & Credit Policy
1. Missed Classes or Workshops
Single-session classes & short workshops (1–3 sessions):
Cancellations more than 7 days in advance: Full refund or credit toward future programming.
Within 48 hours or no-show: No refund or credit.
Multi-session classes (≥4 sessions):
Prorated credit for unused sessions if cancellation occurs before Session 2.
After attending Session 2, non-attendance does not qualify for refund or credit.
2. Parent Coaching Sessions
If canceled ≥48 hours before the scheduled time: Full refund or option to reschedule.
If canceled <48 hours or no-show: No refund, but a one-time courtesy reschedule may be granted at the Center’s discretion.
3. Course Kits or Materials
Unopened kits/materials returned within 7 days of purchase may be refunded in full.
Opened or used kits are non-refundable, but may be exchanged for store credit at fair value.
Insurance Reimbursement (Parent Coaching)
If you plan to seek insurance reimbursement for parent coaching sessions:
Insurance coverage for out-of-network mental health or family support varies—please confirm specifics (e.g., deductible, session limit, required diagnosis).
After payment, we can supply a receipt and a superbill containing:
Provider details (e.g., coalition affiliation or professional license),
Service date(s), session length, CPT/ICD codes (if applicable),
Session fees, client name, and session location.
You should submit the superbill to your insurance provider for reimbursement. We recommend checking with your insurer ahead of time to determine coverage and any required diagnosis or authorization.
We are not responsible for out-of-network reimbursement denials, but can assist with documentation or appeals when needed.
Additional Notes
Refunds or credits are processed within 14 business days via the original payment method unless otherwise arranged.
Scholarships & sliding-scale programs may be subject to separate cancellation/refund terms (see your award letter or agreement).
We reserve the right to cancel or reschedule classes or sessions due to insufficient enrollment or instructor illness—if this happens, you’ll receive a full refund or credit and at least 48 hours’ notice when possible.
By enrolling and/or paying, you agree to abide by the policies stated above.

We may share links, books, videos, organizations, or community referrals that we find helpful for parents, caregivers, and children. Rocky Mountain Art & Play Center and its clinicians do not receive financial compensation, sponsorship, or any form of payment from the organizations or resources we recommend. All shared materials are intended to complement—not replace—professional therapy, individualized care, or medical advice. Families are encouraged to use their discretion when exploring outside resources and to discuss any questions or concerns with their therapist or healthcare provider.
