1. Purpose
This policy outlines the respectful process for submitting feedback or formal complaints and the steps we take to address them in a timely and transparent manner.
2. Providing Feedback
We welcome all types of feedback from clients, caregivers, partners, and community members.
You may submit feedback via:
Email: rockymountainartandplay@gmail.com
In-person: Directly to your therapist, facilitator, or front desk staff
Feedback Form: Available in our lobby or on our website
Feedback may be anonymous, though providing contact information helps us respond more effectively.
3. Submitting a Formal Complaint
If you have a concern or complaint you would like formally addressed, please submit it in writing via:

Please include:
Your name (optional) and contact information
A clear description of the concern
Relevant dates, people involved, and any prior attempts to resolve the issue
Desired resolution, if applicable
4. Timeline for Response
Acknowledgment: Within 3 business days, you will receive confirmation that your complaint or concern was received.
Initial Response: Within 10 business days, we will provide an update or initial findings.
Resolution: Most matters will be resolved within 30 business days. If more time is needed, you will be informed of the reason and updated regularly.
5. Follow-Up Actions
After a complaint is reviewed:
You will be notified of the outcome and any actions taken.
If applicable, adjustments will be made to policies, procedures, or services.
If you are unsatisfied with the resolution, you may request a review by our Executive Director.

Families are encouraged to use their discretion when exploring outside resources and to discuss any questions or concerns with their therapist or healthcare provider.
